The OTB System

A recruiting operating system isn't a tool you buy. It's a process you run.

How OTB works, and why it's built differently than anything else in football recruiting.

The Five Pillars

What makes something a recruiting operating system?

OTB is built around five interconnected pillars. Together, they form a system that runs the recruiting process, not just describes it.

Strategy

School targeting, position fit analysis, level-appropriate expectations, and competitive landscape awareness.

Produces

A targeted school list built by level, fit, and position need

Structure

Recruiting timeline, milestones, task management, and NCAA compliance awareness.

Produces

Campaign timeline with milestones and compliance dates

Outreach

Coach-targeted email campaigns with sequencing, sending discipline, and follow-up logic.

Produces

Multi-wave outreach sequence with timing and follow-up built in

Visibility

Profile, film, and presence. The assets coaches actually evaluate when deciding who gets on the board.

Produces

Film package review and profile positioned for coach evaluation

Execution

Follow-up tracking, response management, re-engagement, and ongoing campaign adjustment.

Produces

Response log, re-engagement tracker, visit pipeline

The Process

Six steps. One system.

Every OTB campaign follows the same disciplined process, adapted to your athlete's specific situation, stage, and goals.

01

Evaluation

We start by understanding where your athlete is in the recruiting process: grade level, position, academic profile, goals, and timeline. The evaluation sets the foundation for everything that follows.

No generic intake. A real assessment of your specific recruiting situation.

You leave with:Situation assessment · Realistic level expectations · Recruiting timeline
02

Strategy

Based on the evaluation, we build a school list, analyze position fit, identify level-appropriate targets, and define what a realistic, strong recruiting path looks like.

Targeted at coaches who are actually recruiting your position at your level.

You leave with:Target school list built by fit · Position fit map · Level analysis
03

Build

Before outreach begins, we get the assets right: profile, film, positioning, and messaging. Coaches evaluate quickly. Your athlete's package needs to communicate clearly from the first contact.

Film and profile preparation optimized for coach evaluation standards.

You leave with:Film package review · Profile positioning · Outreach messaging framework
04

Campaign

We launch sequenced, coach-targeted outreach campaigns, not mass blasts. Every message is purposeful, every school is targeted, and the campaign is designed to create real engagement.

Sequenced outreach with intentional timing and follow-up built in.

You leave with:Live outreach across multiple waves · Coach contact log · Response tracking

Sample outreach sequence · illustrative

Wave 1Initial contact · Day 134 coaches
Wave 2Follow-up · Day 1422 coaches
Wave 3Re-engagement · Day 288 coaches

Why this structure

Just like traditional marketing, response rates improve across multiple touchpoints rather than a single message. In recruiting, repeated, well-timed contact matters. The ideal process relies on repeated, well-timed contact over time, across email and Twitter/X. Follow-up discipline is not aggression. It's how you get on the board.

05

Track and Follow Up

Recruiting doesn't end with a send button. We track responses, manage re-engagement, and maintain the follow-up discipline that most families can't sustain on their own.

Response tracking, follow-up cadence, and ongoing communication management.

You leave with:Follow-up sequences · Re-engagement log · Visit pipeline
06

Adjust and Close

As the recruiting picture evolves, the strategy evolves with it. We adjust targeting, refine messaging, and continue executing until your athlete reaches their goal.

Continuous campaign optimization as the recruiting landscape shifts.

You leave with:Updated target list · Revised strategy · Final campaign execution
The Three Stages

The same system. Built for your stage.

Whether you're building the foundation in 8th grade or sprinting through the transfer portal, OTB runs the same disciplined process, at the pace and urgency your situation requires.

7th - 9th Grade

Foundation

The foundation stage is about starting the process correctly: early profile building, habit formation, NCAA awareness, and positioning before the recruiting window fully opens. Athletes who start here have more options and more leverage when coaches start evaluating.

10th - 12th Grade

Active Campaign

The active campaign stage is where the full OTB system runs at scale. School targeting, coach outreach, film positioning, response management, follow-up discipline, and ongoing campaign optimization, all working together in a managed recruiting effort.

JUCO / Transfer Portal

Sprint

The sprint stage is for athletes who need to move fast: JUCO players, transfer portal entries, and grad-transfers. The same system runs in a compressed, high-urgency format. Rapid strategy, fast targeting, aggressive outreach, and relentless follow-up.

Clarity

What this isn't.

It's worth being direct about what OTB is not, because the recruiting industry has too many things that look like systems but aren't.

A passive profile sitting in a database

A mass-blast email tool

A scholarship guarantee or false promise

A self-serve product you figure out alone

Generic sports recruiting advice not built for football

Start the Process

The evaluation is where it starts.

A 20-30 minute call. No commitment, no pricing pressure. We look at your athlete's situation and tell you honestly what a recruiting campaign looks like from where you are: what's realistic, what the process involves, and whether OTB is the right fit.
